What Is Visa Renewal in Japan?

What people call "visa renewal" is officially called an Extension of Period of Stay (在留期間更新許可申請). The procedure allows you to continue living in Japan under your current Status of Residence after your current period of stay expires.

It is important to understand the difference between two things that are often confused:

Timing

When Can You Apply for Visa Renewal?

Applications can be submitted from approximately 3 months before the expiration date shown on your residence card. In 2026, with processing times significantly longer than in previous years, applying on the first possible day is no longer just a suggestion — it is the recommended standard.

⚠️ Do not wait until the last few weeks

Many foreign residents wait until 4–6 weeks before expiration. Given 2026 processing times of 2–4 months (standard) and 4–6 months (complex cases), this leaves no buffer for additional document requests or delays.

4–5 months before expiry
Begin preparation
Check your tax and pension records for gaps. Confirm social insurance enrollment. Identify any issues (job change notifications, missed payments) and resolve them.
3 months before expiry — APPLY
Submit application immediately
Your application window opens. Gather all documents and submit on the first eligible day. Receive your application receipt (申請受理票) and keep it safely.
At expiry date (if still waiting)
Get your extension sticker
Visit the Immigration Bureau with your application receipt to request an extension sticker (特例期間シール). You can continue living and working legally until a decision is made.
Approval notice received
Collect your new residence card
Bring your passport, current card, notification, and a ¥4,000 revenue stamp (収入印紙) to the Immigration Bureau. Update employer HR records with the new expiry date.

Who Is Eligible for Renewal?

Immigration authorities assess whether you continue to meet the requirements of your current status. There are three main areas of evaluation:

① Activity Compliance

You must continue performing the activities permitted by your status. For example: work visa holders must continue doing the type of professional work their status covers; students must be enrolled and attending; spouse visa holders must maintain their qualifying relationship.

② Legal and Administrative Compliance

Since 2024, immigration officers verify the following records for every renewal application:

  • Income tax and residence tax (住民税) — fully paid, no arrears
  • National pension (国民年金) or employees' pension (厚生年金) — enrolled and current
  • Health insurance — enrolled with no gaps
  • No criminal record or immigration violations
  • No history of overstay or unauthorized work
  • All required notifications filed (e.g., 14-day job change notification)

③ Financial Stability

Applicants should demonstrate the ability to support themselves and any dependants. There is no published income threshold, but a general guideline is approximately ¥3 million or more annually for work visa holders.

💡 2026 Update: JLPT N2 is now a review factor

From April 2026, Japanese language proficiency (JLPT N2 or equivalent) is officially reviewed as part of most work visa renewals. It is not automatic rejection without N2, but it is a negative factor. Include a study plan and proof of enrollment if you don't have N2 yet.

How Long Does Visa Renewal Take?

Processing times in 2026 are significantly longer than the official estimates suggest. Plan accordingly.

What Goes Wrong

Common Reasons for Renewal Rejection

Although most renewals are approved, rejections are not uncommon — and they are increasing in 2026 as compliance verification has tightened. These are the most common causes based on real casework.

Unpaid residence tax (住民税)
The most common cause. ISA now cross-checks municipal tax records for every application. Even a single year with arrears creates a significant problem.
Rejection #2
Social insurance or pension gaps
Missing health insurance or pension enrollment periods are flagged. This often occurs during job transitions when coverage is not properly transferred.
Rejection #3
Job duties don't match visa category
The most structurally common issue. Engineers assigned to sales roles, or professionals doing work outside their permitted activity category.
Rejection #4
14-day job change notification not filed
After changing employers, a notification must be filed with ISA within 14 days. Many foreign residents don't know this rule exists.
Rejection #5
Inconsistent documents
Salary on the application doesn't match tax records. Job description doesn't match the employment contract. Any inconsistency triggers additional scrutiny.
Rejection #6
No JLPT N2 (from April 2026)
Not automatic denial, but now a negative factor. Applicants without N2 should include a study plan and proof of active learning in their application.

Keep your application receipt (申請受理票) with you at all times. If your card's printed expiry date passes, visit the Immigration Bureau to get an extension sticker.
You can travel during the review period, but use caution. Do not depart after your printed expiry date has passed without consulting an immigration specialist first — there is a risk you may not be permitted to re-enter. Always obtain a re-entry permit before departing Japan while a renewal is pending.
If you filed on time, your legal status continues beyond the printed expiry date under the special permission period. Go to the Immigration Bureau with your application receipt and request the extension sticker (特例期間シール). This sticker is what you show to employers, banks, and landlords as proof of your continued legal status.
There is no fixed limit on renewals as long as you continue meeting all requirements. However, you should be aware that some statuses have inherent limitations — for example, Specified Skilled Worker (特定技能) Type 1 has a 5-year cumulative cap. For most work visas, renewals can continue indefinitely until you qualify for Permanent Residency or another status.
A denial does not always mean you must immediately leave Japan. Depending on the situation, options may include reapplication (after fully resolving the cause of denial), change of status, administrative review, or in some cases departure and COE reapplication from abroad. The best course depends on the specific reason for denial — visit the Immigration Bureau window to understand the concern before deciding on next steps.
File the notification immediately — even if significantly late. Late filing is far better than no filing. Go to oishi.moj.go.jp (ISA's online system) or submit a paper form by mail. When you file your renewal application, include a brief explanation letter about the late notification. Officers see this regularly; proactive correction is treated much better than having no record at all.
Yes — a company name or address change is a triggering event that requires a notification to ISA within 14 days. The obligation is on the employee (not the employer) to file the notification. This can be done online at oishi.moj.go.jp. Ensure the company name on your renewal application documents matches the current registered name, and include the change history if there's been a recent rebrand.
