What Is a Japan Work Visa?

Japan does not issue a single "work visa." Instead, each foreign national holds a Status of Residence (在留資格) that defines what type of work they can do and for how long. The visa stamp in your passport is only used to enter Japan — your residence card (在留カード) is what governs your work rights on an ongoing basis.

🏭 Specified Skilled Worker (特定技能 1号 / 2号)

For specific industries facing labor shortages: food service, construction, agriculture, care work, and others. SSW Type 1 has a 5-year cumulative limit and does not lead to PR. SSW Type 2 is renewable and PR-eligible.

Highly Skilled Professional (高度専門職)

Most Common Visa Rejection Reasons in 2026

These are not hypothetical — they are the actual causes of visa refusals and shortened grants based on real consultation cases.

Rejection #1
Social insurance or pension gaps
Even one month of missing health insurance or pension enrollment is now flagged. ISA cross-checks with pension records since 2024.
Rejection #2
Job duties don't match visa category
Engineers assigned to sales or manual work, or marketers doing unrelated tasks — activity mismatch is the most structurally common issue.
Rejection #3
14-day job change notification missing
Mandatory within 14 days of changing employers. Missing notifications appear in the application review and consistently create delays or refusals.
Rejection #4
Residence tax (住民税) unpaid
Especially common during job transitions and for freelance workers. ISA now cross-checks municipal tax records for every renewal.
Rejection #5
Documents inconsistent or vague
Job description doesn't match employment contract, or salary on application differs from tax records. Inconsistency is a major red flag.
Rejection #6
No JLPT N2 (from 2026)
Not automatic rejection, but now a negative factor in renewal assessments. Applicants without N2 should include a study plan and evidence of active learning.

A visa (査証) is the stamp in your passport that lets you enter Japan — it's issued by a Japanese embassy abroad. A Status of Residence (在留資格) is what governs your right to live and work in Japan on an ongoing basis and is shown on your residence card. HR teams manage Status of Residence — not visas. After entering Japan, it's the residence card that matters for compliance and renewals.
Yes — if you filed your renewal application before your current period of stay expired, you are protected by the special permission period (特例期間). You can continue living and working legally until a decision is made. If your card's printed expiry date passes during review, visit the Immigration Bureau with your application receipt and request an extension sticker (特例期間シール) to attach to your card.
Yes — within 14 days of leaving your old employer and joining your new one, you must file notifications with ISA (two notifications: one for leaving, one for joining). This can be done online at oishi.moj.go.jp. Missing this is one of the most common causes of renewal problems. If you've already missed the deadline, file the late notification now — late filing is far better than no filing.
From April 2026, JLPT N2 or equivalent Japanese proficiency is now reviewed as a factor in most work visa renewals (技人国 and similar). Applicants without N2 are not automatically refused, but it is treated as a negative factor in the assessment. If you don't have N2 yet, include a Japanese study plan, proof of course enrollment, or other evidence of active learning in your application. JLPT N1 or a Japanese university degree also satisfies the requirement.
Processing times in 2026: work visa renewal (same employer, clean record) — 2–3 months at Tokyo Bureau. Renewal after job change — 4–6 months. Certificate of Eligibility (COE, new hire from overseas) — 4–7 months at Tokyo. Regional bureaus outside Tokyo are generally 1–3 months faster. Apply as early as possible — on the first day of the 3-month window before your expiry date.
Contact the Immigration Bureau immediately and explain the situation. You may be able to withdraw your current application and refile under a new employer, or request a job-search grace period depending on circumstances. Do not wait and do not continue working without clarifying your status. This situation requires prompt, proactive communication with immigration.
