Change of Status of Residence (在留資格変更許可申請) is one of the most important — and most misunderstood — immigration procedures in Japan. It is not the same as renewing your visa. It is what you need when your life situation has changed enough that your current visa category no longer matches what you are doing in Japan.
Getting this wrong — filing a renewal when you actually need a Change of Status, or starting a new job before approval is granted — can create serious immigration compliance problems that affect not just your current visa, but your long-term PR pathway as well.
What Is Change of Status of Residence?
Change of Status (在留資格変更) allows you to switch from one Status of Residence category to a different one while remaining in Japan — without having to leave the country and re-apply for a new visa from abroad.
It is necessary when:
- Your activities have changed in a way that no longer fits your current status category
- Your life circumstances have changed (marriage, graduation, starting a business)
- You want to move to a status with fewer restrictions or better PR pathways
Your status of residence defines what activities you are permitted to do in Japan — not just where you work. The key test is always: "Do my actual day-to-day activities match the permitted activities of my current status?" If the answer is no, Change of Status may be required.
Renewal vs. Change of Status — Which Do You Need?
This is the most commonly confused question in Japan immigration. The answer depends entirely on one thing: has the type of activity changed, or just the expiry date?
Just extending the deadline.
- Same employer, same job duties
- Same status category (e.g., still Engineer)
- Different employer, but same type of professional work
- Promotion within same activity category
- Remote work arrangement within same employer
Need a new category.
- Graduated from student status → starting professional work
- Married a Japanese national → want to switch to spouse visa
- Engineer → going freelance or starting a company
- White-collar work → completely different industry/activity type
- Dependent → returning to work
"Senior Engineer" → "Engineering Manager" is usually still Renewal. "Engineer" → "Restaurant Manager" requires Change of Status. When the type of activity changes categories, Change of Status is required regardless of what the title says.

What Changed in Your Situation?
Select what applies to you and see whether Change of Status is required and what to do next.
Graduating from university while on a student visa and starting professional work requires a Change of Status — from Student (留学) to an appropriate work status (typically Engineer/Humanities for most professional roles).
Critical timing: Apply for Change of Status before your graduation date or before you start work — whichever comes first. You cannot begin work activities until the Change of Status is approved. Most universities have dedicated windows for this process.
Student → Work Visa Guide →If you married a Japanese national while in Japan on a work or student visa, you can change your status to Spouse of Japanese National (日本人の配偶者等). This status has no work restrictions — any job, any industry, any employer.
Note: Changing is optional — you can keep your existing work visa if it suits you. Many people choose to change once they have sufficient evidence to support the application. Proof of genuine relationship is the key challenge.
Spouse Visa Guide →Going freelance or starting a company while on an Engineer/Humanities work visa is one of the most complex transitions in Japan immigration. The Engineer/Humanities status is based on an employment relationship with an organization — it does not cover self-employment.
Typical options: Business Manager (経営・管理) visa for company founders and directors (note: requirements significantly tightened in October 2025 — ¥30M capital required). For some tech freelancers, a review of actual activity patterns may be needed before determining the right route.
Business Manager Visa 2026 →If your new job involves a fundamentally different type of activity from what your current status permits — for example, moving from a professional white-collar role to a skilled labor role in a specific industry — Change of Status is required before you can begin the new work.
Do not start the new job first. File the Change of Status application before beginning the new type of work. If you're unsure whether your new role crosses status categories, the detailed employer guide below has specific HR scenarios.
Renewal vs. Change of Status Guide →Dependent (家族滞在) visa holders can only work part-time with a 資格外活動許可 (permission for activities outside status), limited to 28 hours per week. To work full-time in a professional role, you need to change to an appropriate work status.
The right work status depends on your qualifications and the nature of the work. If you have a university degree and professional experience, Engineer/Humanities is likely the path.
Japan Work Visa Types →If you are a student visa holder who has received a job offer and will be starting work after graduation, you need to change to an appropriate work status. This is one of the most common changes in Japan.
Timing is critical: Most new graduates start on April 1. You must file your Change of Status application well before that date. If you're a foreign student graduating in March, start the process by November–December of the previous year to be safe given 2–4 month processing times.
Student → Work Visa Process →If you changed employers but your new job involves the same type of professional work that your current status covers, Change of Status is not required. You simply need to file a 14-day notification with ISA about the employer change, and prepare updated employer documents for your next renewal.
The 14-day notification must be filed within 14 days of starting the new job. This can be done online at oishi.moj.go.jp.
Job Change Visa Guide →Applying for Permanent Residency (PR) is a separate application from Change of Status. You do not change your current status to apply — you apply for PR while keeping your existing status, and your current status remains valid throughout the review period.
PR has specific requirements including residency duration, compliance history, and from April 2027, a 5-year visa at the time of application.

How to Apply for Change of Status
The official application is the Application for Permission to Change Status of Residence (在留資格変更許可申請). It is filed at the Regional Immigration Services Bureau that has jurisdiction over your registered address.
Official ISA page: ISA: Change of Status of Residence →
Documents Required
Required documents vary significantly by the target status. The core documents required for all applications are:
| Document | Notes |
|---|---|
| Application for Permission to Change Status of Residence (在留資格変更許可申請書) | ISA-format form for the target status. Download from the ISA website. |
| Passport | Current valid passport |
| Current residence card (在留カード) | Current card to be surrendered on approval |
| Photograph | 4cm × 3cm, taken within 3 months |
| Documents proving eligibility for the target status | Varies by target status — see guides for each specific route |
Student → Work visa requires degree certificate and employer documents. Work visa → Spouse visa requires family register and relationship evidence. Always check the specific requirements for your target status before preparing documents.
Processing Time
| Application Type | Processing Time (Tokyo) | Regional Bureaus |
|---|---|---|
| Work status → another work status | 2–4 months | 1–3 months |
| Student → work status | 2–3 months | 1–2 months |
| Any status → Spouse of Japanese National | 2–4 months | 1–3 months |
| Any status → Business Manager | 3–5 months | 2–4 months |
The Timing Rule That Most People Get Wrong
This is fundamentally different from renewal. While a renewal application is pending, you can continue your current activities under the special permission period. But during a pending Change of Status, you can ONLY continue the activities permitted by your CURRENT status — not the new ones you are applying for. Starting a new job type before approval is an immigration violation.
What this means in practice
| Situation | Can you start before approval? | What you CAN do |
|---|---|---|
| Student applying to change to work status | ❌ No — cannot start working professionally | Continue attending school. Part-time work within permitted hours still allowed. |
| Work visa holder applying to change to different work category | ❌ No — cannot start new type of work | Continue current job under current status until approved. |
| Any status → Spouse visa (after marriage) | Marriage itself is fine. Cannot claim new activity rights yet. | Can remain in Japan. Activity rights under current status continue. |
If you are a graduating student starting work on April 1, file your Change of Status by November–December of the previous year. If processing takes 3–4 months, this gives you a buffer. Do not file in February and expect approval by April 1.
