⚡ TL;DR — What to Do When You Change Jobs
  • File a notification to ISA within 14 days of your job change — this is mandatory
  • Your current status of residence card remains valid — you do not need to renew just because you changed employers
  • The key question is whether your new job duties still match your current status category
  • If duties changed significantly (e.g., engineering → sales), a Change of Status application may be needed
  • The new employer will be scrutinized at your next renewal — prepare updated employer documents now

1. The Key Question: Does Your New Job Match Your Status?

Changing jobs in Japan doesn't automatically invalidate your residence card or require immediate re-application. The question that actually determines what you need to do is: "Do my new job duties still fall within the permitted activity category of my current Status of Residence?"

Job Change Type Status Match? What's Required
Same type of work (e.g., engineer → engineer at a new company) ✅ Yes File 14-day notification only; update documents for next renewal
Related but different role (e.g., engineer → technical PM) ✅ Usually yes File 14-day notification; review duties carefully; update employment contract
Completely different work (e.g., engineering → hospitality operations) ❌ No Change of Status application required before starting new work
White-collar → manual/production work ❌ No Change of Status or Specified Skilled Worker status required
Spouse/PR status holder changes jobs ✅ N/A No immigration action needed; normal employment compliance only

2. The 14-Day Notification — What It Is and How to File

Under the Immigration Control Act, foreign nationals must notify ISA when they leave or join an affiliated organization (employer). This applies every time you change jobs.

🚨 14-day deadline — this is a legal requirement, not optional

File the notification within 14 days of your job change. Missing this deadline creates a compliance record that surfaces at your next renewal and may cause delays or a shortened grant period.

How to File

  1. Online (recommended): Log in to the ISA online system at moj.go.jp/isa (Online Residence Application System). You'll need your residence card number and the details of your new employer (company name, address, type of business).
  2. By mail: Complete the paper notification form (available on the ISA website) and mail it to your regional immigration bureau.
  3. In person: Bring the completed form and your residence card to the nearest immigration bureau or satellite office.

You need to file two notifications: one for leaving your previous employer, and one for joining your new employer. Both have the 14-day deadline.

3. Job Change Scenarios: What's Required

Scenario A: Same job type, new company (most common)

You're a software engineer moving to a new tech company. Your duties and status category remain the same (Engineer/Humanities). Required actions: File 14-day notification. Ensure your new employment contract accurately describes your duties. No renewal needed until your card expires.

Scenario B: New company, different role within same category

You're moving from a marketing role to an HR business partner role. Both fall under "Specialist in Humanities." Required actions: File 14-day notification. Update your employment contract. At next renewal, ensure your new job description clearly fits the humanities category.

Scenario C: New role that may require Change of Status

You're moving from IT engineering to restaurant management. These are different activity categories. Required actions: Consult an administrative scrivener before starting the new role. You may need to file a Change of Status application before beginning work. Starting without the correct status is a violation.

Scenario D: Freelance / self-employment after employment

⚠️ Going freelance on an Engineer/Humanities status is complex

Engineer/Humanities status is tied to employment with an organization. Moving to self-employment or freelancing typically requires changing to Business Manager status (経営・管理) or another appropriate category. Do not simply leave your employer and continue freelancing on the same status without consulting a specialist.

4. What Changes at Your Next Renewal After a Job Change

Your next renewal will be more scrutinized than a standard renewal because the employer is new to ISA. Prepare for:

  • New employer documents: Company registration, financial statements, employment certificate, salary certificate — all from the new employer
  • Gap explanation if applicable: If there was a period between jobs, have a brief explanation and proof that you maintained national health insurance and pension enrollment during the gap
  • Updated job description: Ensure it clearly matches the activity category of your status
  • Notification confirmation: The ISA record of your 14-day notification must exist; if you missed it, file late before submitting the renewal

5. Post-Job-Change Compliance Checklist

  • Filed "leaving previous employer" notification within 14 days of last day
  • Filed "joining new employer" notification within 14 days of first day
  • New employment contract accurately reflects job duties and salary
  • Social insurance enrollment transferred correctly (health insurance + pension)
  • No gap in health insurance — enrolled in national health insurance if any break between employers
  • Residence tax payments continuing under new payroll setup
  • New employer's company information (registration, address) documented in HR file
  • Address on residence card is current

6. FAQ

Q. I changed jobs 2 years ago and never filed the notification. Is it too late?

File it now. Late filing is far better than no filing. When you submit your renewal, include a brief letter explaining the delay. Immigration officers see this regularly — a late notification with an explanation is treated much better than a complete absence of the notification.

Q. Can I work at my new job while waiting for a Change of Status to be approved?

No. If the new job requires a different status category, you cannot begin the new activities until the Change of Status is approved. You can continue working in your old role under your current status until then, but not the new type of work.

Q. I'm switching from full-time to part-time at a different company. Does this count as a job change requiring notification?

Yes. Any change in affiliated organization (employer) triggers the 14-day notification requirement, regardless of full-time or part-time status. File both notifications.
