Change Visa Status Japan — Professional Service & Guide 2026
Change Visa Status Japan — Professional Service for Status of Residence Changes (2026)
This guide is based on current Immigration Services Agency (ISA) procedures and real casework. Last updated: June 2026.
- A Change of Status of Residence (在留資格変更許可申請) is required when your activities in Japan change to a different category — for example, Student → Work, Dependent → Work, Work → Spouse, or any category switch.
- This is fundamentally different from a visa renewal (same category, extending the time). Getting the two confused is one of the most common immigration mistakes in Japan.
- You cannot start the new activity until approval is granted. Starting work before your Change of Status is approved is a violation — even if your current residence card is still valid.
- Processing takes 2–4 months at Tokyo Bureau in 2026. Timing the application correctly is critical, especially for students graduating into employment.
- VisaSHOGUN handles Change of Status applications in English. Light Plan from ¥3,980 · Pro Plan from ¥29,800. Free consultation — reply within 24 hours. Contact us →

1. What Is a Change of Status of Residence?
A Change of Status of Residence (在留資格変更許可申請) is an application to switch from one immigration category to a different one while remaining in Japan. When approved, your residence card is reissued showing your new status and a new period of stay.
In Japan, your Status of Residence is not just a visa label — it defines exactly which activities you are permitted to engage in. An Engineer/Humanities visa holder is permitted to do professional work in their field. A Student visa holder is permitted to study. A Dependent visa holder is permitted to live in Japan as a family member of a qualifying sponsor. If you want to do something outside your current permitted activities, you need to change your status first.
The Change of Status is assessed essentially as a new eligibility review — ISA evaluates whether you meet the requirements for the new status category from scratch, regardless of how long you have been in Japan or how smoothly your previous renewals went.
2. Change of Status vs. Renewal — The Critical Difference
This is one of the most commonly confused distinctions in Japan immigration. Getting it wrong leads to either missed obligations or unnecessary applications.
| Renewal (Extension of Period of Stay) | Change of Status | |
|---|---|---|
| Official name | 在留期間更新許可申請 | 在留資格変更許可申請 |
| What changes | The expiry date only — status category stays the same | The status category itself — permitted activities change |
| When to use | Your current status still covers your activities; you just need more time | Your activities are changing to a different category, or you need a different status |
| Review process | Compliance check + ongoing eligibility for same category | Full new eligibility assessment for the new category — treated like a first application |
| Processing time (Tokyo, 2026) | 2–4 months (standard); 4–6 months (complex) | 2–4 months (most categories) |
| Can you do the new activity while waiting? | Yes — same activity continues during grace period | ❌ No — cannot start new activity until approved |
| Example | Engineer visa expires in 6 months; same job, same company → Renewal | Student graduates and starts full-time work → Change of Status required |
3. When Do You Need a Change of Status?
The test is simple: are your intended activities covered by your current status? If yes, renew. If no, change status first.
| Situation | Change of Status Required? | Notes |
|---|---|---|
| Graduating from university and starting a full-time professional job | ✅ Yes — Student → Work | Must be approved before starting work. Apply by November–December for April start. |
| Moving from dependent visa to employment | ✅ Yes — Dependent → Work | Cannot work full-time professionally on a Dependent visa even with 資格外活動許可 |
| Marrying a Japanese national while on a work visa | ⚠️ Optional — your choice | You may keep your work visa or switch to Spouse visa. See: spouse visa guide |
| Switching to HSP status to unlock PR fast track | ✅ Yes — Work → HSP | HSP fast-track PR clock starts from the date HSP is granted. See: PR fast track guide |
| Starting your own business while on a work visa | ✅ Yes — Work → Business Manager | Work visas do not cover self-employment. Business Manager requirements tightened Oct 2025. |
| Engineer moving to a sales management role at a new company | ⚠️ Depends on duties | If duties still involve specialist knowledge → likely renewal only. If primarily management/non-specialist → consult scrivener |
| Renewing the same work visa at the same company, same role | ❌ No — renewal only | Same category, same activities → Extension of Period of Stay |
| Divorce from Japanese spouse while on Spouse visa | ✅ Yes — need new qualifying status | Must notify ISA within 14 days and change to qualifying status within 6 months |
4. Most Common Changes — With Specific Guidance
🎓 Student → Work (技人国 / Engineer / Humanities)
The most common Change of Status in Japan. Graduating students switching to full-time professional employment must apply before starting work. Key points:
- Processing takes 2–4 months at Tokyo Bureau. For an April 1 start date, apply by November–December of your final year. Most students apply too late.
- The application requires an offer letter from your employer and evidence that the role fits the 技人国 category (professional work related to your academic background)
- Your student years count toward the 10-year PR residency requirement — the 5-year qualifying work status sub-requirement starts now. See: PR requirements
- JLPT certification is not a general work visa renewal requirement. N2 can still help with jobs and HSP points. See: JLPT, jobs, HSP points, and visa renewal facts
👨👩👧 Dependent → Work
Dependent visa (家族滞在) holders who want to start full-time professional employment need to change to a work status first. The Dependent visa provides 資格外活動許可 (permission for activities outside status), which allows part-time work up to 28 hours per week — but this does not cover full-time professional employment.
- The application is a fresh eligibility review for the work category — same requirements as applying for a work visa for the first time
- Evidence of qualification match between academic background and job duties is essential
- Employer documentation: offer letter, company profile, detailed job description
⭐ Work → HSP (Highly Skilled Professional)
If you currently hold a standard work visa (技人国) and score 70+ points on the HSP table, switching to HSP status starts the PR fast-track clock. This is a purely strategic move — you can stay in the same job. The benefits: 5-year period of stay, broader activity permissions, and faster PR eligibility.
- Check your points first: HSP points calculator
- The PR fast-track clock (1 year for 80+, 3 years for 70+) starts from the date HSP is granted — not from when you first qualified

💑 Work / Student → Spouse of Japanese National
If you are already in Japan on another status and marry a Japanese national, you can change to Spouse status — giving you unrestricted work rights. This is optional: you may keep your current status if it suits you. Considerations:
- The Change of Status requires the same relationship documentation and questionnaire as a new spouse visa application — the relationship evidence strategy is critical
- The Spouse visa unlocks a marriage-based accelerated PR route: married 3+ years + 1 year in Japan = PR eligible
- See the full guide: spouse visa application service
🏢 Work → Business Manager
Starting your own company or taking on a representative director role requires Business Manager status — a standard work visa does not cover this. Requirements tightened significantly in October 2025:
- Capital requirement: ¥30 million (tripled from ¥10 million)
- Mandatory 2 full-time Japanese employees
- JLPT N3 now required

5. What the Professional Service Includes
A Change of Status is treated by ISA as a new eligibility review — equivalent to applying for that status for the first time. This makes thorough preparation more important than for a routine renewal.
① Eligibility and Category Confirmation
The scrivener first confirms that the new status is the correct one for your situation, that you meet the eligibility requirements, and identifies any risk factors. For borderline cases (duties that partially overlap categories, startup companies, non-standard academic backgrounds), this analysis alone determines the strategy.
② Document Strategy and Preparation
A Change of Status application requires a comprehensive package — including application forms, employer documents, evidence of eligibility for the new category, and in most cases a reason letter (理由書) explaining the transition. Documents are prepared from scratch; the scrivener does not reuse materials from previous applications.
③ Activity Match Analysis
For work-related changes, the scrivener reviews the specific duties of your new role against ISA's activity definitions for the target category. If there is ambiguity, they advise on how to structure the job description to accurately represent your duties in a way that demonstrates clear category fit.
④ Submission and Follow-Up
Pro Plan: the scrivener submits via the ISA Online Application System and manages any additional document requests during the 2–4 month review period.

8. Critical Timing Considerations
Timing errors are the most common problem with Change of Status applications. Two specific risks:
Risk 1 — Starting the New Activity Before Approval
You cannot legally begin the activities permitted by the new status until the Change of Status is approved and your new card is in hand. Starting work before approval — even by one day — is a violation. For students transitioning to employment, this means coordinating your start date with your employer based on realistic processing timelines, not an optimistic assumption.
Risk 2 — Applying Too Late
For April job starters (the most common scenario in Japan's hiring cycle), applying in February or March is too late — processing takes 2–4 months. Apply in November–December of your final year. The immigration office for your registered address handles the application; if you are moving cities for the new job, coordinate carefully. See: Japan visa processing times 2026.
April 1 start date → Submit Change of Status by November–December → Approval in February–March → Start work April 1 ✅
April 1 start date → Submit in February → Approval in May–June → Cannot start April 1 as planned ❌
9. FAQ
Q. I got married last month. Do I have to change to a Spouse visa?
No — it is optional. If you are already in Japan on a work visa, you may keep your current status. The Spouse visa offers unrestricted work rights (any job, any industry) and opens the marriage-based PR fast track, but neither benefit requires you to switch if your current work status suits you. A scrivener can compare the two options for your specific situation. See: spouse visa application service.
Q. I'm a student and I have a part-time job. Can I keep that job during the Change of Status review period?
Yes — your current 資格外活動許可 (part-time work permission) continues under your Student status during the review period. What you cannot do is start full-time professional employment before the Change of Status is approved. Keep your part-time work within the 28-hour limit during this time.
Q. My job duties overlap two categories. How do I know which status to apply for?
ISA assesses the primary activities of a role, not secondary ones. If 60% of your duties are technical engineering work and 40% are business communication, the primary category is typically 技人国. For genuinely ambiguous cases, a scrivener reviews the specific breakdown of duties and advises on the correct category and how to document it clearly. Getting this wrong at application stage is the most common reason for a Change of Status refusal.
Q. How long does a Change of Status take in 2026?
At Tokyo Bureau: 2–4 months for most categories. This is similar to a renewal but slightly faster for many cases since there is no grace period complexity. ISA publishes monthly processing data: ISA monthly processing time data. For Student → Work changes filed in the peak December hiring season, processing can run toward the longer end of that range.
Q. I want to switch to HSP status. Do I need to change jobs?
No — you can switch to HSP status in your current job. HSP is a points-based classification layer on top of your existing work activities. You file a Change of Status from 技人国 to HSP while staying at the same company doing the same work. The benefit is the 5-year period of stay and the PR fast-track clock starting. Check your points first: HSP points calculator.
Q. What happens if I start work before my Change of Status is approved?
This is a violation of the Immigration Control Act — engaging in activities not permitted by your current status. It can result in your Change of Status application being refused, your current status being revoked, and the violation appearing on your immigration record for future applications including PR. If you have already started work before approval, consult a scrivener immediately about how to address this. See: visa violation risks.
Q. I divorced my Japanese spouse. What do I do about my Spouse visa?
You must notify ISA within 14 days of the divorce. You then have 6 months to change to a qualifying status (such as a work visa if you have employment, or long-term resident status in some circumstances). If you do nothing and the 6 months passes, you will be in an irregular immigration situation. Consult a scrivener as soon as possible after the divorce.
