Your application for renewal or change of status of residence has been denied—many of you are probably anxious and unsure what to do after receiving that postcard or notification. A denial is not the end. In many cases, you can get approval on reapplication if you follow the correct procedures.

Even if your application for status of residence is denied, you can continue to stay in Japan and reapply as long as it's within your period of stay. However, if your period of stay is approaching its end, you need to act immediately. Do not ignore the denial notice; follow the steps in this article.

Check the period of stay on your residence card and note the remaining days. The priority of your response will change depending on whether you have ample time or if your period of stay is approaching.

4. Common reasons for denial by visa type

Engineer/Specialist in Humanities/International Services (Gijinkoku)

① No or weak relation between academic major and job duties

This is the most common reason for denial. Examples: graduating from a cosmetology school and working in the restaurant industry, or graduating with an education degree and working in factory packing. The same applies if the work does not fall under "work requiring knowledge in natural sciences or humanities."

② Problems with residence status (unpaid taxes, social insurance, or notification failures)

Includes unpaid residential tax, failure to enroll in social insurance, or failure to submit job change notifications. For renewal applications, "compliance with laws during previous periods of stay" is strictly checked.

③ Unstable company management

Cases where the applying company is continuously in the red, has excessive debt, or is newly established, raising doubts about employment stability. Denial is likely if the company cannot prove its stability with documents.

Spouse Visa (Spouse or Child of Japanese National, etc.)

④ Suspicion of sham marriage or insufficient proof of genuine relationship

Cases with few photos together, unnatural explanations of dating history, or inability to confirm cohabitation. Insufficient evidence to prove the genuine nature of the marriage.

⑤ Insufficient income or financial capacity of the Japanese spouse

Cases where the Japanese spouse is unemployed, has low income, or is receiving public assistance, making them unable to financially support the foreign spouse.

Permanent Resident Application

⑥ Deficiencies in residence status (social insurance, taxes, notifications)

Residence status is checked for the entire period of the last 10 years (or the reduced requirement period). Denial is likely if there is even one instance of failure to enroll in social insurance, delayed tax payment, or missed notification.

⑦ Insufficient proof of income or assets

Cases where the independent livelihood requirement cannot be met, or stability and continuity of income cannot be proven.

Business Manager Visa

⑧ Business activities cannot be confirmed

Includes cases of continuous zero sales, no actual business office (virtual office, shared with home), or inability to prove transaction history.

⑨ Unpaid social insurance or taxes

Cases with unpaid corporate tax, consumption tax, or social insurance premiums. Strict checks have been increasing in renewal examinations since the October 2025 revision.

On the other hand, if the reason is "problems with status of residence (e.g., legal violations, long-term unpaid dues)," it may take time to resolve the issue. The most important step is to accurately understand the reasons for denial.

8. Frequently Asked Questions

I received a denial notice. Do I have to return to my home country immediately?
You can continue to reside in Japan within your period of stay. Denial does not mean immediate departure. Check your period of stay, and if you have time, inquire about the reasons for denial before considering your options.
Is there a limit to the number of times I can reapply?
There is no legal limit to the number of reapplications. However, having a history of denial makes the review stricter. Repeatedly applying with the same documents carries high risk; it is crucial to reapply after resolving the reasons for denial.
I don't agree with the reasons for denial. Can I appeal?
Appeals against dispositions concerning foreigners' entry, exit, and naturalization are not recognized. However, it is possible to file a "lawsuit for revocation" within six months from the date you learned of the disposition. While there are cases of successful lawsuits, it requires time and expense.
