Need to Make a Phone Call in Japanese? Here’s What You Can Do

A landlord, utility provider, clinic or company needs a Japanese phone call. Find the easiest way to get an answer, prepare one clear request and decide whether to call yourself or ask for support.

Direct answer

Check the English or online route first.

Look on the organization’s official website for an English desk, contact form, chat or online account. If a call is still needed, prepare one clear purpose, your customer or booking number, relevant dates and the next step you want to confirm.

Still blocked? A trusted Japanese speaker may help while you remain available for consent or verification. LifeAdmin is another option for a clearly defined, non-emergency call.

01 · Prepare

Make the request easy to understand.

  1. Find the official contact. Use the organization’s own website, your bill, booking confirmation or resident documents. Check the desk, opening hours and whether the number can be called from your location.
  2. Write one purpose. For example: “Confirm my gas stop appointment” or “Ask management how to arrange an AC inspection.” Separate unrelated requests.
  3. Have identifying details ready. Use the name on the account or reservation, address, customer or booking number, and a reply contact.
  4. List the important facts. Include dates, previous messages, a reference number and two or three available time slots if a visit is involved.
  5. Decide what you need back. An accepted date, reference number, required document or the name of the next desk is more useful than a vague “please help.”
Is this urgent or an emergency? Do not wait for a routine support order. Use the appropriate emergency service, provider emergency line or building contact. For visitors, JNTO’s Japan Visitor Hotline provides tourist information and assistance with accidents, illness and disasters; it is not a general account-management service.

02 · Choose your next step

How would you like to handle it?

03 · Do it yourself

Try the route that gets you the answer.

You may be able to finish online without a call. Where phone contact is required, first ask whether an English-speaking colleague can help. A trusted Japanese speaker can also explain your request, with your permission; the recipient may still need to speak to you directly.

Real request · September 2026: a customer asked LifeAdmin to confirm whether a Japan Post delivery had arrived. We checked the official tracking record, confirmed delivery and returned the answer in English. The task was answered without an unnecessary call.

Write a short call note.

Who I am: [account or reservation name]
Reference: [customer / booking / room number]
My request: [one purpose]
Important date: [date and time]
What I need confirmed: [next step or outcome]

Ask whether English support is available

英語で対応していただける方はいらっしゃいますか?

“Is there someone who can help me in English?”

Ask them to speak slowly

日本語があまり得意ではありません。ゆっくり話していただけますか?

“My Japanese is limited. Could you speak slowly?”

Introduce yourself and the request

〇〇と申します。お客様番号は〇〇です。〇〇について確認したく、お電話しました。

“My name is [name]. My customer number is [number]. I’m calling to confirm [purpose].”

Replace お客様番号 with 予約番号 (booking number) if appropriate, or leave out the number sentence if you do not have one.

Ask for a written next step

必要な手続きや書類を、メールで送っていただけますか?

“Could you email me the required procedure or documents?”

Confirm the date and reference

確認のため、日時は〇月〇日〇時、受付番号は〇〇で間違いないでしょうか?次にこちらで行うことはありますか?

“To confirm, is the date and time [date/time], and the reference number [number]? Is there anything I need to do next?”

Before hanging up, confirm these points.

  • Was the request accepted, or only received for review?
  • What date or appointment, if any, has been confirmed?
  • What is the reference number and the responsible desk?
  • What must you submit or complete yourself?
  • When should you expect an update, and how should you follow up?

LifeAdmin · Japanese call support

Need someone to explain the request in Japanese?

LifeAdmin can contact one organization, communicate one clear routine request and confirm the next step. You receive a written English summary of the result and any action still needed.

  • ¥2,980 · one organization, one clear purpose
  • Up to two call attempts
  • Normally reviewed within one business day; calls during Japanese business hours

What we’ll need from you

  • The organization’s name and official phone number
  • Your account or reservation name, and customer or booking number if applicable
  • Address or room details where relevant
  • One clear request, important dates, previous messages and any reference
  • Your deadline and times when you can join a call for identity verification or consent

Provide the details through the task form. Some recipients may require you to speak directly or complete their own verification. LifeAdmin does not impersonate you. Never send passwords, PINs, card data or one-time codes.

Leaving or facing a deadline in less than 3 days? Contact the organization directly first. LifeAdmin may not be available before your deadline; same-day completion is not guaranteed. Use the appropriate emergency route for emergencies.

After you order

  1. Describe the task. Provide one purpose and the relevant details.
  2. We review it. Requests are normally reviewed within one business day; calls are made during Japanese business hours.
  3. Receive the result. Read the English summary and complete any step the recipient still needs from you.

04 · Keep a record

A conversation is only one part of the task.

Save the call date, organization, reference and agreed next step. If you need to send a form, sign a document or verify your identity, the task may remain incomplete until you do that.

If the recipient cannot discuss the account

Ask what authorization or direct verification is needed and which official channel to use. Do not assume that asking someone to call means the organization must accept the request.

If nobody answers

Check the published hours and correct desk. Try the official written route or follow up with the original reference. Two call attempts do not guarantee contact.

Does the request become a dispute or professional-advice question? Use an appropriate qualified professional or consultation service. A routine phone-support task is limited to communication and confirmation.

05 · Keep the next step clear

Ready for the call?

Tick an item once it is prepared. The ticks apply to this visit.
