Documents Required for Japan Work Visa — Full Checklist 2026
Documents Required for Japan Work Visa — Complete Checklist (2026)
This checklist is based on current ISA requirements for the 技人国 (Engineer/Humanities/International Services) status — the most common Japan work visa category. Requirements for other categories may differ. Last updated: June 2026.
- Documents come from two sources: you (the applicant) and your employer. Both sides must be prepared before submission — a gap on either side causes delays.
- The job description is the most critical document — not a form you fill in, but an employer-written explanation of your duties. Generic descriptions are the #1 cause of refusals.
- For new entrants from abroad (COE route), the employer submits to ISA. For those already in Japan (Change of Status), the applicant submits with employer documents attached.
- Consistency across all documents — same job title, same salary, same start date — is checked by ISA. Inconsistencies trigger additional document requests.

1. Document Overview — Who Provides What
Japan work visa applications are split between documents you gather yourself and documents your employer prepares. Both must be complete before submission. The exact list varies slightly by application type and employer category, but the structure is consistent.
| Document Source | Who Prepares It | What It Contains |
|---|---|---|
| Applicant documents | You | Passport, academic credentials, professional history, photo, application form |
| Employer documents | Your employer (or scrivener on their behalf) | Employment contract, job description, company profile, financial evidence, registration certificate |
| Official certificates | Government offices / universities | Tax certificates, graduation diplomas, residence certificates — issued by third parties |
2. Applicant Documents (You Provide)
These are documents you gather and submit yourself. Start collecting these as soon as you have a job offer — some (especially official diplomas and transcripts) take time to obtain from overseas institutions.
📋 Applicant Document Checklist — 技人国 Work Visa
- Passport (original + copy) All pages with stamps. Must be valid for the duration of your intended stay.
- Application form (在留資格認定証明書交付申請書 or 在留資格変更許可申請書) ISA official form. Completed by you or your scrivener. Download from ISA (official).
- Photo (4cm × 3cm, taken within 3 months) White or light background. No glasses. Do not staple — attach with adhesive.
- Degree certificate / diploma (original or certified copy) University bachelor's degree or higher in a field relevant to your role. If your degree is in a different language, a Japanese translation may be required.
- Academic transcript Especially important when the connection between your academic field and job duties needs to be demonstrated. Issued by your university.
- Residence card (if already in Japan) Required for Change of Status applications. Not applicable for COE applications from abroad.
- Professional experience certificates (if using experience instead of degree) For applicants using 10+ years of professional experience in lieu of a degree for humanities/international services roles. Certificates from all previous employers confirming the nature and duration of work.
- JLPT certificate (if held) JLPT results may be useful when a job requires Japanese. N2 and N1 can also qualify for points under the HSP system. Include only when relevant.
- Reason letter (理由書) — if applicable Not always required, but strongly recommended for non-standard situations: degree field different from job, job change context, or any complexity. Prepared by scrivener.
3. Employer Documents (Your Company Provides)
The employer package is typically where delays and refusals originate — not the applicant's personal documents. Employers who are unfamiliar with immigration documentation often provide insufficient or inconsistent materials. The following is the standard package for 技人国 applications.
📋 Employer Document Checklist — 技人国 Work Visa
- Employment contract or offer letter (雇用契約書 / 内定通知書) Must state: job title, salary (annual or monthly), start date, work location, working hours, contract type (full-time/part-time). Must match all other documents exactly.
- Detailed job description (業務内容説明書) The single most important document. See Section 4 for what this must contain. Not the same as the contract job title.
- Company overview / brochure (会社案内) Business description, number of employees, products/services, client base. For smaller companies, include evidence of business legitimacy.
- Certificate of Registered Matters (登記事項証明書) Official company registration from the Legal Affairs Bureau. Obtainable online via the Ministry of Justice online registry. Must be current (within 3 months).
- Organisation chart (組織図) Shows where the applicant's role sits in the company structure. Confirms the role is genuine and necessary.
- Financial statements — most recent fiscal year (決算書) Balance sheet and profit/loss statement. Required for Category 3 and 4 employers; strongly recommended for all smaller companies. Demonstrates financial stability to employ the applicant.
- Corporate tax return (法人税の確定申告書) — if requested Sometimes required for Category 4 employers or when financial stability is in question.
- Employment reasons letter (採用理由書) Explains why this specific person was hired for this role — particularly important for Category 4 employers and startups. Why this person? Why this role? Why now?
4. The Job Description — The Most Important Document
The job description (業務内容説明書 or 職務内容説明書) is a separately written document that explains what the applicant will actually do at work — in enough detail for ISA to assess whether the role constitutes "work requiring specialist knowledge in natural sciences or humanities."
This is not the same as the job title in the employment contract. A job title of "Engineer" tells ISA nothing useful. The job description must demonstrate that the specific duties require university-level specialist knowledge.
What a Strong Job Description Contains
📋 Job Description Quality Checklist
- Specific duties with percentage breakdowns E.g., "System architecture design — 35%; Backend API development in Java/Spring — 40%; Technical client consultation — 25%"
- Specific technologies, tools, or methodologies used E.g., Python, AWS, React, SAP, specific financial models, marketing analytics platforms. General terms like "IT work" or "marketing" are insufficient.
- Explanation of the specialist knowledge required Why does this role require university-level knowledge? What knowledge from your academic background does it draw on?
- Deliverables and outputs of the role What does the person produce? Reports, systems, campaigns, contracts, analyses — be specific.
- Connection to applicant's academic background Even if not explicit in the document, the link must be logical and demonstrable. Computer science degree → backend development = clear. Literature degree → software development = needs explanation.
❌ Weak: "The applicant will perform IT-related tasks including system maintenance and support as required by the company."
✅ Strong: "Backend system development (40%): Design and implement REST APIs using Node.js and TypeScript for our e-commerce platform, handling 500K+ daily transactions. Database architecture (30%): Manage PostgreSQL schema design, query optimisation, and data migration. Technical documentation (20%): Write technical specifications in both Japanese and English for cross-team use. Client technical consultation (10%): Communicate directly with enterprise clients on system integration requirements."
A scrivener reviews and restructures the job description before submission. For the employer's perspective and format guidance, see: employer document checklist guide.
5. How Employer Category Affects Document Requirements
ISA classifies employers into four categories based on their immigration compliance track record. The category determines the required document set — specifically how much financial and company evidence is needed.
| Category | Who | Financial Docs Required? | Practical Impact |
|---|---|---|---|
| Category 1 | Listed companies, major national universities, public bodies | Not required — ISA trusts track record | Minimal document set; fastest processing |
| Category 2 | Companies with established immigration compliance programs | Reduced requirement | Streamlined package |
| Category 3 | Companies with prior foreign employee visa history | Most recent fiscal year financial statements | Standard package |
| Category 4 | New companies, startups, no prior foreign employee visa history | Full financial statements + tax returns + detailed company evidence | Most comprehensive package; highest scrutiny |
6. Extra Documents After a Job Change
The first renewal after a job change requires additional documents on top of the standard package, because ISA treats it as equivalent to a new eligibility review. This is one of the most common causes of renewal delays when applicants — and their HR teams — are not aware of what is needed.
📋 Additional Documents Required — First Renewal After Job Change
- New employer's full document package Same as COE package: employment contract, detailed job description, company registration, company overview, financial statements (if Category 3/4).
- Previous employer's employment certificate (在職証明書) Confirming your employment history at the previous company — role, period, salary.
- Proof of 14-day job change notification ISA submission confirmation for the notification filed within 14 days of changing employers. If not yet filed, file it now (late is better than never) and include an explanation letter.
- Certificate of Employment Eligibility (就労資格証明書) — strongly recommended Optional but significantly simplifies the renewal. A pre-approval from ISA confirming the new role matches your status. Obtained after the job change, before the renewal. See: visa after job change — complete guide.
- Reason letter explaining the job change Why did you change? How does the new role relate to your visa category? How does it relate to your academic background? Prepared by scrivener.
7. The Consistency Check — Before You Submit
One of the most common causes of additional document requests in 2026 is inconsistency across documents. ISA cross-checks the following fields across all submitted documents. Any mismatch triggers a request for clarification — adding 4–8 weeks to your processing time.
| Field | Must Match Across | Common Error |
|---|---|---|
| Job title | Employment contract, job description, application form, company organisation chart | Contract says "Engineer"; job description says "IT Consultant"; form says "Software Developer" |
| Annual / monthly salary | Employment contract, company letter, application form | Contract shows base salary only; application form shows total compensation including bonuses |
| Start date | Employment contract, application form, company letter | Contract signed in January; application form states April start; no explanation bridging the gap |
| Work location | Employment contract, application form, company registration address | Work location listed as Tokyo in contract; company registration shows Osaka address; remote work not explained |
| Company name | Employment contract, company registration certificate, application form | Commonly used English name (e.g., "ABC Tech") differs from registered legal name (e.g., "ABC テクノロジー株式会社") — use the registered name everywhere |
8. The N2 Document — What to Include If You Don't Have JLPT Yet
JLPT certification is not listed as a general requirement for extending an Engineer/Specialist in Humanities/International Services status. Japanese ability may still matter for the job itself and can qualify for points under the Highly Skilled Professional system. Include a JLPT certificate only when it is relevant to a job requirement, HSP points, or another specific status.
📋 JLPT Documents — When They Are Relevant
- JLPT certificate — if relevant to the application N2 qualifies for 10 HSP points; N1 may qualify for additional HSP points under the applicable table. Keep the original certificate safe.
- Job- or program-specific language evidence — if requested Provide language evidence only when the employer, program, or specific status requires it. Check the applicable official document list.
- Other Japanese-language evidence — if relevant May be useful for a job, school, or another program that asks for language evidence.

9. FAQ
Q. Do I need Japanese translations of my documents?
It depends on the document. Documents issued by Japanese institutions (tax certificates, company registration, employment certificate) are already in Japanese. Documents from overseas — university diplomas, academic transcripts, professional experience certificates — may need certified Japanese translation if the original language is not Japanese or English. ISA does not always require translation for English documents, but it is safer to provide one for key documents. Confirm with a scrivener for your specific situation.
Q. I graduated from a vocational school, not a university. Can I still get a work visa?
It depends on the school and country. In Japan, 専門学校 (vocational college, senmon gakko) graduates in directly relevant technical fields may qualify for 技人国 in some cases. Graduates of foreign vocational institutions face more scrutiny. Alternatively, if you have 10+ years of relevant professional experience, you may qualify via the experience route for humanities/international services roles. Consult a scrivener with your specific academic credentials and the specific role — this is a case-by-case assessment. See: engineer visa requirements — academic qualification rules.
Q. My employer says they have handled many visas and know what to do. Should I still check their documents?
Yes. ISA document requirements change, and even experienced HR teams make errors — particularly on job descriptions, where the standards for what constitutes sufficient detail have increased in 2026. The most common document problems in real casework come from experienced HR teams who are following outdated processes. A pre-submission review by a scrivener catches these issues before they become additional document requests. See: employer document checklist.
Q. How long does it take to gather all documents?
For most applications: 2–4 weeks assuming your employer is responsive. The bottleneck is usually the employer documentation package — specifically the job description (which needs to be written) and financial statements (which accounting departments may take time to produce). Overseas university documents take additional time. Start the process as early as possible — ideally 5–6 months before your intended start date for COE applications (accounting for 2–3 months of ISA processing time).
Q. What happens if ISA requests additional documents after I submit?
ISA sends a written additional document request (追加書類通知) specifying what is needed and the response deadline. The review clock pauses until you respond. A slow or incomplete response adds weeks to your processing time. Under the Pro Plan, VisaSHOGUN handles the response immediately. Full guide on what to do: Japan visa processing times 2026 — why they happen and what to do.
Q. Do the document requirements differ for renewal vs. initial application (COE)?
The structure is the same, but there are differences in emphasis. For an initial COE application, ISA has no prior history for this person at this company — the employer documentation package needs to establish everything from scratch. For renewals, ISA cross-checks your past compliance (tax, pension, notification history) alongside the current documentation. The job description and consistency requirements apply equally to both. See the renewal-specific guide: work visa renewal service.
